Facility Use and Rentals

Minnewaska Area School Facilities are available after school hours for use or rent by community members, groups, and organizations. The Minnewaska Area Elementary School in Glenwood, the W.I.N. Academy in Starbuck, and the Middle School/High School are available for community use.

How to Request Use of District 2149 Facilities

Reservations for all locations are made through Community Education. Requests must be completed at least seven business days prior to use. Your reservation is not complete until an agreement is issued by the community education department and signed by the person responsible for the event.

When you submit the rental form, a copy of your responses will be automatically emailed back to you. Rental requests are not final until you have received an agreement.

When the request is approved, the requester will receive a facility permit/contract via email requiring a signature, which can be done electronically or printed off, signed, and emailed/dropped off at Community Education.

Signing the contract confirms the arrangements and adheres to the school district procedures and is an agreement to pay the related fees. The facility use contract is not final until it is signed and a certificate of liability insurance is received. Please do not advertise your event until you have received the facility contract via email. It is the facility user's responsibility to review the district’s facility use and rental information.

Please Note:

  • Cancellations of facility use must be made 48 hours before the scheduled rental, or the renter may be liable for rental fees.
  • In case of school closings for emergencies or inclement weather, Facility Use Permits are canceled. Announcements will be made on area radio stations and on the district website.
  • We will make every effort to contact facility use and rental groups.
  • Minnewaska Area School reserves the right to cancel facility reservations for just cause and is not responsible for mechanical or electrical failure.

Classifications and Priorities for Use and Rental Facilities

Group I

School District-Related Groups

Group I shall be permitted the use of facilities at no charge during regular custodial hours. When custodial, food service personnel or supervisor is required, groups will be billed at the current rate for the required personnel.

  • District 2149 Groups (School clubs, community education, teacher and/or parent groups for the purpose of conducting school district business, school district employee unions, school productions, or school-sponsored athletic events.)
  • District 2149 sponsored fundraisers.

Group II

Any youth groups or youth athletic associations within the school district where there is no participation fee or admission for the event and 90% of the participants are from within the school district.

  • School-related booster club organizations
  • Organized local, non-profit youth groups (church youth groups, Girl Scouts, Boy Scouts, 4-H Clubs, etc.) for small meetings (30 or fewer).
  • Youth sports teams and associations (athletic feeder programs, etc.)

Group III

Non-profits within the school district

  • All organizations with 501-C not-for-profit status.
  • Organized community service, citizen and civic groups (Lions, Jaycees, Kiwanis, Legion, VFW, etc.)
  • Any non-school sponsored youth organization or sports league activities where a participation fee or admission fee is charged (traveling teams, weekend tournaments, camps, etc.)
  • Adult sports teams and associations.
  • Special interest groups (church groups, family and class reunions, funerals, weddings, showers, etc.)
  • Political caucuses and political candidates for the purpose of a meeting.
  • Religious organizations for worship or instruction/meeting purposes.
  • Locally sponsored fundraiser by any non-profit group that primarily supports the local group.

Group IV

For profit School district groups/Non-Profit non-district groups.

  • Local businesses or special interest groups for the purpose of conducting meetings or activities of a business or commercial profit-making nature.
  • Any District group conducting fund-raising activities that primarily support non-community organizations or interests.
  • Political fundraisers
  • Classes or workshops conducted by colleges and technical universities.

Group V

For profit Out-of District groups and individuals

  • Any non-district groups or individuals who want to use the school facility.

Procedures and Guidelines for Facility Use

Buildings and Grounds Icon

Use

All areas must be returned to their original condition. The use of facilities shall be consistent with the intended use, and all food/refreshments will be restricted to commons, cafeterias, or outside buildings unless approved in advance. ISD 2149 has the right to limit the activities in an auditorium consistent with the equipment and design.

Equipment

School equipment (i.e.athletic, musical, audio-visual) may be used or rented if arranged in advance.

  • Any equipment or items brought into the building must be approved in advance by the community education director and must be removed immediately following the activity.
  • The cost of replacing/repairing damaged property or equipment shall be paid by the user/renter.

Kitchen/Potluck/Concessions

School kitchens, including equipment and counters, cannot be used to refrigerate, prepare, or serve food brought by individuals to school facilities. If the event includes the sale of food to the public, Minnesota Department of Health regulations apply. Contact Community Education for additional information regarding regulations.

Liability

Individuals or groups that use district facilities must provide a certificate of liability insurance showing Minnewaska Area School as a certificate holder and as additional insured.

Laws

All ordinances, laws, and district policies pertaining to the use of facilities must be observed. Gambling, use of tobacco products, use/possession of alcoholic beverages, and/or illegal chemicals on school property is prohibited. State fire laws must be observed. The number occupying the facility shall not exceed capacity. Emergency exits shall remain visible and accessible at all times. No student or nonstudent, including adults and visitors, shall possess, use, or distribute a weapon when in a school location except as provided in this policy. The school district will act to enforce this policy and to discipline or take appropriate action against any student, teacher, administrator, school employee, volunteer, or member of the public who violates this policy.

Soliciation/Recruitment

Solicitation or recruitment by an organization or individual is prohibited unless prior approval has been received from the community education director.

Facilities Available for Use and Rental Rates

  • A scheduling fee may be charged for all facility use except for district and school supported organizations.
  • Personnel and equipment charges may apply. Facility users may be required to provide a damage deposit and/or partial payment of rental/use fees.
  • Individuals or groups that use district facilities will be required to provide a certificate of liability insurance showing ISD 2149 as a certificate holder and as additional insured.
  • Facility use invoices are due upon receipt. Additional reservations may not be made until past invoices are paid.
